Booking Cancellation & Refund Policy

At Chauffeur India Tours, we aim to provide transparent, reliable, and customer-friendly services so that every traveler enjoys a smooth and stress-free journey. Whether you are booking a customized tour package, airport transfer, hotel-to-hotel drop, or multi-day transportation with our fleet of well-maintained vehicles, we want your entire experience—right from reservation to travel completion—to be clear and convenient.

To ensure seamless planning and to maintain high standards of service, we follow specific guidelines related to booking confirmations, cancellations, and refunds. These policies are designed to protect both our guests and our service providers while offering fair solutions in unforeseen circumstances.

We request all travelers to kindly review the following policies carefully before making a reservation. By confirming a booking with Chauffeur India Tours, you acknowledge that you have read, understood, and agreed to the terms mentioned below.


1. Booking Policy

At Chauffeur India Tours, we aim to provide a smooth and transparent booking experience for all travelers using our tour packages and transportation services.

A. Reservation Process
  • Bookings can be made through our website, WhatsApp, email, or by contacting our travel team.
  • All reservations are subject to availability at the time of confirmation.
  • A booking is considered confirmed only after we receive the advance payment and send you a written confirmation via email or WhatsApp.
B. Advance Payment

To confirm any tour or transportation service:

  • 50% advance payment is required at the time of booking.
  • Partial card details (processed via secure payment gateways)
  • Balance 50% payment must be completed before the start of the tour/service or on the day of arrival/pick-up (as mutually agreed).
  • For last-minute bookings (within 48 hours of travel): 100% payment is required.
C. Payment Methods

We accept:

  • Bank Transfer / NEFT / IMPS
  • UPI (Google Pay, PhonePe, Paytm)
  • Credit/Debit Cards (via secure payment gateways)
  • Cash payments (only in local currency and against proper receipt)
D. Required Guest Information

To complete the booking, travelers must provide:

  • Full Name with Pax Details
  • Contact Details
  • Tour dates & Itinerary
  • Pickup Location & Timings (Share the Flight Tickets / Train Tickets)
  • ID proof (if required by hotels or authorities)
  • Passport details (for international guests or flight/train bookings)
E. Price Policy
  • Prices may vary depending on travel dates, seasonal surcharges, hotel availability, and vehicle type.
  • Quoted prices are valid only until the mentioned date in our offer.
  • Taxes, tolls, permits, and parking charges will be mentioned clearly in the final itinerary or quote.

2. Cancellation Policy

We understand that travel plans may change unexpectedly. Our cancellation policy ensures clarity and fairness to all customers.

A. Cancellations by Traveler

If the traveler cancels the booking, the following charges will apply:

Time Before Travel Date Cancellation Charges
More than 30 days 10% of total tour cost or ₹2,000 (whichever is higher)
15–30 days 25% of total tour cost
7–14 days 50% of total tour cost
48 hours – 6 days 75% of total tour cost
Less than 48 hours 100% (No Refund)
B. Cancellation of Transportation-Only Bookings

If only transportation/chauffeur service is booked:

Cancellation Time Charges
Before 72 hours Full Refund (minus transaction fees)
24–72 hours 50% of booking amount
Less than 24 hours No Refund
C. Non-Refundable Components

Certain bookings once made cannot be refunded, such as:

  • Flight/train tickets
  • Hotel bookings under non-refundable rates, hotel cancellation policy will be applied.
  • Permit fees, entrance tickets
  • Special request bookings during festivals or peak season
  • Vehicle or driver reservation blocks
D. No-Show Policy
  • No refund will be applicable, and the booking will be treated as a no-show.

3. Refund Policy

A. Refund Processing Time
  • Refunds are processed within 7–14 working days after confirmation.
  • Refunds will be issued to the same payment method used during booking.
B. Deductions

Refunds will be processed after deducting:

  • Cancellation charges as per policy
  • Transaction or bank fees
  • Charges imposed by hotels, airlines, transport suppliers
  • Already utilized services (if any)
C. Partial Refunds for Shortened Trips

If a trip is shortened due to personal reasons:

  • No refund for the unused portion of the tour/service.
  • Any additional arrangements will be charged separately.
D. Refunds for Vehicle/Transportation Issues

If Chauffeur India Tours is unable to provide the booked vehicle due to unexpected conditions (breakdown, unavailability, emergency):

  • A similar or upgraded vehicle will be offered.
  • If no alternative is available, a full refund for the vehicle portion will be given.

4. Booking Amendments & Date Change Policy

A. Amendments by Traveler

Date changes or amendments are subject to:

  • Availability of hotels/vehicles
  • Supplier's / Service Provider's terms
  • Seasonal rate differences

Amendment Fee: ₹500 per change (if applicable)

B. Amendments by Chauffeur India Tours

In rare cases of operational issues or natural factors, we may modify:

  • Hotel allocation
  • Vehicle type
  • Itinerary sequence

We will ensure:

  • Equal or higher standard alternatives
  • Clear communication with the traveler

5. Cancellations Due to Natural Calamities or Situations Beyond Control

If the trip is affected due to:

  • Floods
  • Landslides
  • Strikes
  • Political unrest
  • Epidemics/Pandemics
  • Road blockages or government restrictions

We Will :

  • Try to reschedule the trip
  • Adjust dates without penalty
  • Provide refunds based on supplier policies and actual cancellation charges

Note: Chauffeur India Tours is not liable for losses due to circumstances beyond control.
